Do your homework before buying your Point of Sale (POS) software

Whether you are new in business or a seasonal businessperson do not make the typical mistake when searching for Point of Sale (POS) software. There are over 1,000 different POS applications to choose from; all are different. All these choices can be overwhelming and confusing; choosing POS software is very difficult. And too many businesspersons end up with the wrong software. Furthermore, it is common for businesspersons to go through even up to 4 (four) different POS applications before they find the right one. It is a typical mistake that could probably cost you from $10,000 up to $100,000.

Do not make the common mistake most people do; do not buy the hardware before you chose the software. Each POS application will have its own hardware and operating system requirements. For example, the software will require a specific Operating System such as Windows, Unix or Linux, except if it is an open architecture system. Furthermore, each application will only operate properly with certain types of printers, scanners, cash drawers and card readers.

Not all POS applications are the same. The system you choose is very important; it will have a big impact on the efficiency of your business. If you install your Operating System first, you might limit your software choices. For example: You might find the perfect fit for your business but it runs on Linux but you already bought Windows XP. Or the printers and scanners you just bought are not compatible either.

You would avoid all these problems and save money if you choose the POS application first. Then you can buy the Operating System, hardware and peripherals that better fit the application.

Another red flag. Too often people assume that a computer consultant would be the right source of knowledge and would provide the best recommendations. Well, that is not 100% true. If you go to the dentist because of a toothache and you need a root canal, you will be referred to specialist, right? Too often a computer consultant with a big ego will not do that, and you will end up paying even more. You will pay for the software and hardware plus his/her consulting fees. If you choose this road, which is not a bad one, make sure that the consultant specializes in POS software and retailing. Every business is different and has different needs. If you get poor advice and select the wrong type of system, your business will lose money.

Some other points to remember:

  • Know more about the software company, you are not just buying a product you are buying a relationship. The quality and trajectory of company is as important as the product.
  • Find out what type of training, technical support, and possibly hardware they offer.
  • How long has the company been in business is very important? Newcomers do not have much experience and organization. Beside, dozens of software companies come and go every year.
  • What type of update/upgrade program do they have? Even the best companies, such Microsoft, find bugs in their products. Or they release a new version and yours become obsolete.
  • What is their Technical Support turn around time when you report a problem? You cannot be waiting for days for a solution. It could cost you thousand of dollars.

Remember, do your homework before start spending money. Even if it takes longer that what you wish, it would be your best investment in the long run.
